What is a mental health virtual assistant (VA)?
Our VAs are here to support your practice as it grows–helping you move forward with more clarity and less overwhelm. From admin tasks to BTS clinical support, we step in to lighten your load and bring order to your day.

Why do I need a mental health virtual assistant?
As your practice grows, so do the demands on your time–pulling you further into admin and away from the work that matters most.

What does shared VA mean?
Each member of our team is a shared VA, meaning they support multiple practices.

What is the average response time for inquiries?
We respond to all inquiries within 24 hours, with a goal of getting back to you the same day whenever possible.

When does your VAs work?
We operate Monday through Friday from 9 AM - 5 PM in the time zone of your VA. All of our VAs are based in the US.

Do you offer live answer?
We do not offer live answer phone support.

Can my VA do initial consultations as well as scheduling?
Yes, our VAs are trained to do initial consultations.

How does the pricing work?
We offer three tier packages of 20 hours per month, 30 hours per month, and 40 hours per month. If you choose to use more time than that, any hourly overages are $45/hr. Your VA will email you when you use 100% of your time package and give you the option to keep going, pause services for the month, have them work a certain amount of time per day/week, have them work only on certain tasks, or you may choose to be upgraded to the next package tier. And because no two practices are the same, we’re always happy to create a customized plan that aligns with your unique needs and pace.

What if I go over my time package?
If you have a busy month and need more hours, we’re happy to accommodate your needs. Your VA will communicate with you when you use 100% of your time package for the month. It will be up to you whether you want to go over your budgeted hours. You will only be charged for the actual time used and it will show up on the following month’s invoice. Additional hours are $45/hr and are subject to availability.

What if I don’t use all the time in my package?
If you don't use all your hours in the current month they will expire. During the onboarding process, we will assess your needs and set you up with a time package that is perfect for you. If you have a slow month, we can suggest tasks or projects for your VA to work on for you.

What is the difference between each package tier?
The difference between the 20-hour package, the 30-hour package, and the 40-hour package is your budgeted time each month. All services are included in each of the packages.

Do you offer vacation/sick coverage?
At this time, we do not offer VA coverage.

When will I be invoiced?
At the start of each month, you’ll receive an invoice for your base package (20, 30, or 40 hours), plus any additional hours used in the previous month.

How long is the contract?
All services are month-to-month with 30 days notice to cancel.

How will my VA track their time?
Our VAs use a reputable time-tracking software called Harvest. We track the time they are working for your practice down to the minute. You can also request a detailed monthly report at any time.

Will my VA track incoming referrals?
Yes, your VA can maintain your referral tracking spreadsheet.

Can I have a check-in with my VA weekly?
Yes! We recommend it, especially in the first two months. It’s a great way to gain confidence in your VA, and for your VA to get to know you and your practice better.

Will you sign a BAA?
Yes—we provide a Business Associate Agreement (BAA) to support HIPAA compliance.
Our VAs are trained in handling PHI with care and confidentiality is a core part of our work. You’ll review and sign the BAA during onboarding so you’re fully covered from day one.
